Fannie Mae Lockbox System Import Specification

Import Method

We can provide you, or your vendor, with SFTP access to our network, or we can retrieve the files from your system via SFTP. If a vendor plans on sending us office/user data, they must provide us with Unique IDs that are unique across all systems. If two vendors send us different values for the same office/user or send us the same values for a different office/user, then the data will not be accurate. It is the responsibility of your organization and the vendor to work together to ensure data integrity.

We can work with various file types. The simplest method is to use a CSV text file. Please include a header line denoting field contents as the first line of each file.

In addition, we can work with either full data dumps or only modified data since the last time we processed your data.
To ensure the accuracy and integrity of your data SentriLock may occasionally request a full data dump to conduct software testing. You are responsible for providing this data and for any costs associated with obtaining data from your data vendors.

How to Contact the SentriLock Development Staff

During the conversion process, you may be in contact with several members of the SentriLock Development staff. When you send e-mail or reply to an e-mail message from the SentriLock Development staff, please direct your e-mail to fmimports@sentrilock.com in order to assure all members of the Development staff will see your message. This helps to ensure a smooth conversion.


Office Data

A file that contains only office data must be supplied. For each office, please specify the following fields:

  • Unique ID (Required Field)
  • Name (Required Field)
  • Area Code
  • Phone Number
  • Street Address
  • City
  • State Code
  • Postal Code
  • Country Code (if other than US)
  • Office Status (Required Field)
    • Active
    • Inactive
  • Office Type (Required Field)
    • FMContractor – Users in these offices can open the key compartment of any lockboxes in the region(s) they are authorized
    • FMListingAgent – Users in these offices will only be able to access their own lockboxes
    • FMStaff – Fannie Mae staff offices

Office/County Data

In addition, a file that contains office/county data must be supplied. This file should map which counties each office should be able to operate in. For each office/county combination, please specify the following fields:

  • Parent ID – Unique ID of the Parent Office (Required Field)
  • Child ID – Unique ID of the Child Office (Required Field)
  • County FIPS Code (Required Field)
  • Office County Access (Required Field)
    • Authorized
    • Unauthorized

Office County Access DISCLAIMER: If the data is a full data dump, the Office County Access field can be omitted and we’ll assume anything included means the office is authorized for the county.

Office Structure Data

In addition, a file that contains office structure data must be supplied. This file should map parent/child relationships of each office. For each parent/child relationship, please specify the following fields:

  • Parent ID – Unique ID of the Parent Office (Required Field)
  • Child ID – Unique ID of the Child Office (Required Field)
  • Relationship Status (Required Field)
    • Active
    • Inactive

User Data

For each user who will have access to the lockbox system (both online and/or at the lockbox) please specify the following:

  • Unique ID (Required Field)
  • First Name (Required Field)
  • Last Name (Required Field)
  • Area Code
  • Phone Number (Required Field)

  • Office Unique ID
  • User Status (Required Field)
    • Active
    • Inactive
  • Can Edit Association Settings (only applicable if the User Type above is Administrator)
  • Can Create One Day Codes for All Lockboxes (only applicable if user in in FMStaff office)
  • User Type (see below for more information) (Required Field)

      Fannie Mae Users

    • System Admin – This is the highest level of access in the system. This user can add listings, users, generate 1 day codes, own lockboxes and view all of the data in the system.
    • General Staff – This user can generate 1 day codes and access all lockboxes in a region. They do not see all of the data in the system.
    • Sales Rep – This user can generate 1 day codes and access all lockboxes in a region. They do not see all of the data in the system.
    • Contractors/Appraisers/Inspectors Users

    • Contractor Company Owner – These are Fannie Mae approved vendors. They have people working under them. They can create child companies, add other users and access all lockboxes in a region.
    • Contractor Team Member – This is a user that works under the Contractor Company Owner. They have the same access level as the Contractor Company Owner.
    • Contractor Field Personnel – This is a user that does work for a Contractor Company. This user has access to all of the lockboxes in a region. They cannot add users or companies.
    • Listing Agents Users

    • Listing Agent – This is the Fannie Mae Listing Agent. They can own lockboxes, add team members, office staff, contractor companies and contractors, such as Non-SAMs. Any user they add can only access their own listings.
    • Listing Agent Team Member – Often this is another licensed Agent. This user can own lockboxes and has administrative access to the Listing Agent’s lockboxes.

Property Status DISCLAIMER: Please provide us with a list of ALL Property Statuses and indicate which statuses we should add into our system and which statuses should trigger us to remove properties from our system. Please note that we do NOT remove properties from our system while they are still assigned to a lockbox. Once a property has a status that should be removed from our system and is no longer assigned to a lockbox, it will be removed accordingly.
